Structure of the Association

Roles within the I.S.L.E Association

The Administrative Board: 5 or 7 people It is the Administrative Board which makes the major decisions concerning the activities of the association . Decisions are made by voting during the Administrative Board meetings.
The Board appoints a Committee (4 members of the 5/7 Admin Board) which is responsible for implementing decisions. In addition to the Committee members, (see below), the Board comprises two administrators who may occupy specific "delegate" functions such as:
- Communication : he/she deals with the Association's external communication strategy (website, , information posters, mailings)
- Logistics: he/she deals the travel logistics of members (AGM, participation in conferences etc.)
- Managing partnerships : he/she is concerned with finding and negotiating with partners.
- Publications: he/she takes care to write and to write articles on behalf of the association, to find funding for it, etc.

Composition and role of the Committee (4 people from the Administrative Board) It implements the decisions voted by the Administrative Board and ensures the functioning of the administration of the association.

1) The President:
- He/she represents the association in all areas of civil life.
- He/she he is legally responsible for the association.
- He/she heads the Admin Board (signature of contracts, representation in the dealings with third parties, actions ...).
- He/she oversees all valid and current actions of the association, he/she distributes tasks, oversees the administration and the links between the Committee and the Admin Board.
- He/she chairs the General Assembly and presents the balance sheet of the association, he/she is the facilitator of the meetings and makes the final decision when a tie vote on certain proposals occurs.
- He/she establishes the agenda of meetings with the Secretary.
- He/she organizes the activities of the association, and is the interface between the members of the association members and external bodies.

2) The Vice-President (VP):
- He / she helps the President with ceratin assigned tasks, for example:
- Management of membership: He/she deals with relationships between members and the Committee, he/she gathers the views of members of the association.
-In case of unavailability of the President, he/she replaces the President in his/her functions.

3) The Treasurer:
- He/she is charge of the accounts of the association. - He/she makes the payments received (under the control of the President), and all amounts owed to the association.
- He/she collects the Members contributions.
- He/she presents the financial report of the association during the General Assembly, and must also submit a budget for the following year.
- He/she writes up the budget / finances part of grant proposal,s establishes budgetary forecasts if necessary.
- He/she maintains the accounting files from the bank account and the available funds of the association.

4) The Secretary:
- He/she deals with the correspondence of the association, takes the minutes (meetings and assemblies), it validates (or writes him/herself) the functioning of the association, with the exception of the accounts. - He/she establishes the agenda of with the President. - He/she informs members of the meetings. - He/she has the responsibility of the membership files and the records of the association. - He/she provides the material for the carrying out of administrative tasks. - He/she ensures compliance with the statutes.
